Studio Terms and Conditions

The Grimbarians Studio – Studio Hire Terms & Conditions These Terms and Conditions apply to all individuals or organisations hiring The Grimbarians Studio on an ad-hoc, non-member basis. By paying and confirming your booking you agree to the following terms and conditions. June 2025 1. Booking Confirmation  All bookings are confirmed only upon full payment.  Provisional bookings will be released if payment is not received within the requested time frame.  The studio cannot be held for unpaid or unconfirmed sessions. 2. Punctuality  Please arrive promptly at your scheduled booking time.  Time lost due to late arrival cannot be reclaimed or refunded.  Early access is not permitted unless explicitly agreed in writing. 3. Studio Access and Use  Access will be provided at the agreed start time and must not exceed the allocated booking.  Studio use is restricted to photography, videography, or creative work as agreed.  You may be required to open or close the studio under staff supervision if no host is present. 4. Overtime  If your session exceeds the booked time, overtime will be charged at the standard rate: o £20 per additional hour, subject to studio availability. o Any overtime must be reported and paid for immediately after the session. 5. Cancellation Policy  Bookings may be cancelled or rescheduled up to 3 full days prior to the date of hire.  Cancellations made within 72 hours of the booking will be non-refundable.  Any refunds (where applicable) will be processed minus a 10% admin fee. 6. Insurance & Liability  By hiring the studio, you agree to assume full responsibility for your activities and those of your clients or crew.  You must have your own Public Liability Insurance and carry out a risk assessment if required.  Grimbarians Studio is not liable for injury, damage, or loss incurred during your hire. 7. Conduct & Cleanliness You are expected to:  Leave the studio clean and tidy after your session.  Remove all equipment, props, and personal belongings by the end of your booking.  Return any used studio equipment to its proper place.  Respect the studio as a shared and professional environment. Failure to comply may result in additional cleaning charges or refusal of future bookings. 8. Equipment Use  Studio equipment (lights, stands, modifiers, etc.) is available for use only with prior agreement.  Equipment must be used responsibly and returned in good working order.  Any damage or loss must be reported immediately. You may be liable for repair or replacement costs. 9. Prohibited Activities  No illegal activity or use of banned substances is allowed on the premises.  Smoking and vaping are strictly prohibited inside the building. 10. Damages  Any damage to studio property, equipment, or infrastructure during your booking will be charged in full.  You agree to notify us of any issues immediately. 11. Termination of Use  Grimbarians Studio reserves the right to terminate any hire without refund if terms are breached or inappropriate behaviour occurs. 12. Agreement By proceeding with payment and booking, you confirm that you have read, understood, and agree to all of the above Terms and Conditions.
